Descriptions of Seminar Committees
Search for a facility to accommodate 150 to 250 people and has adequate parking, making arrangements for audio and visual equipment, setting up appropriate lighting, obtaining a portable microphone, setting up a podium and obtaining tables for any literature or books the photographer might want to sell, identifying location of restrooms and providing tables for refreshments.
Photographer Search Committee
The responsibilities include soliciting and compiling a list of suggested photographers from the membership, checking on photographer's availability, costs, arranging lodging, arrange for transportation upon arrival and departure, inquiring whether they would help promote the seminar through his/her mailing list and other social media.
This committee will be working with all of the committees at some point. Initially, they will be dealing with the Photographer Search Committee and the Facilities Committee. When the other committees become active, the Budget Committee will be involved with them. Their major responsibilities will be to obtain funds to support the seminar and directing the treasurer to issue payments for expenses incurred.
This committee will be using a website, Eventbrite (www.Eventbrite.com), to promote our event, manage ticket sales, track payments and manage refunds, use promotional tools, use Google Maps to show location of and directions to event, and showcase our presenter with their titles and photos
Social Media Marketing/Information Distribution
Use various kinds of social media to promote our event. In addition to your own creative ideas, there are many tools available on the Eventbrite website. This committee will be responsible for reaching out to the camera clubs in New England to promote our event.
Once the number of attendees has been confirmed, this committee will be responsible for planning, ordering and setting up the refreshments for the day.
Registration and Greeters
This committee will be responsibility for making name tags and registering attendees at the door. In addition they will welcome the attendees as they approach the main entrance and also provide help in the parking lot, finding parking spaces for people if it becomes crowded.
